What does a Finance Controller FTE own?
A Finance Controller FTE owns reconciliation, exception handling, and audit-ready reporting inside the ledger and bank feeds you already run. It is accountable for auditable financial accuracy, meaning every match and every entry it proposes carries the evidence behind it.
It works in the accounting system you connect, with read access to bank feeds and the ledger, and it starts with no ability to post entries on its own. Posting is a proposal that a person approves.
How does matching actually work?
Each morning the Finance Controller FTE reconciles new transactions against invoices and bank lines and separates them into matched, proposed, and exceptions. A proposed match shows the evidence: the bank line, the invoice or invoices it corresponds to, and the fee schedule that explains any difference.
A payout that equals two invoices net of processing fees, from the same customer in the same settlement window, arrives as a proposal with all three documents attached. The manager sees the reasoning and decides, rather than trusting a number.
What happens with exceptions?
Exceptions are anything the FTE cannot match with confidence, and they arrive in Approvals with the reason and the supporting documents rather than as a bare list. Unusual amounts, possible duplicates, timing shifts, and unfamiliar counterparties are flagged with what made them unusual.
This is where the human hours in a finance function usually go, and where the FTE's evidence-first approach matters most. An exception with the documents attached takes minutes to decide; one without them takes an investigation.
- Matched: exact correspondence between bank line and invoice, logged
- Proposed: a likely match with the evidence attached, awaiting approval
- Exception: cannot match confidently, flagged with the reason and documents
- Anomaly: duplicate, unusual amount, or timing shift, flagged for a decision
What can it do without approval?
By default, nothing that changes the ledger. The Finance Controller FTE starts at Level 0, proposing every match and every entry. The class of action most commonly promoted first is the exact match, where the bank line and invoice correspond precisely, because the pattern is unambiguous and the approval history is long.
Anything involving judgement keeps its gate: partial matches, write-offs, adjustments, and anything above a threshold you set. The autonomy ladder is applied per class of action, from the approval record, and can be stepped back at any time.
How does the audit pack get built?
The audit-ready record is a by-product of the daily work rather than a month-end exercise. Every match, proposal, approval, and exception decision is logged with its evidence at the time it happens, so the pack for an auditor is an export rather than a reconstruction.
For missions, the Finance Controller FTE takes a bounded push such as close the month, with visible progress from open items to a reviewed close, or a diagnostic such as why is cash lower than forecast, answered with ranked hypotheses and evidence from the ledger rather than a single asserted cause.
What does a Finance Controller FTE cost, and what does the finance lead see?
A Finance Controller FTE consumes tokens for matching, exception analysis, anomaly detection, close missions, and its morning brief, bounded by a per-FTE budget and visible daily; approving matches and deciding exceptions cost nothing. Because reconciliation is high-volume and repetitive, usage per role is easy to set against outcomes: tokens consumed divided by transactions reconciled in the period gives a cost per reconciled transaction that can be compared with the cost of doing it by hand from your recorded baseline.
The finance lead sees each morning the proposed matches with their documents, the exceptions with reasons and evidence, any anomalies flagged, and spend against budget. In the Performance tab they see transactions reconciled, exceptions open at day one of the close, days to close, approval rate with send-back reasons, and usage, and once a month the FTE's first-person report against those targets. The audit pack is exportable at any time because it was built as the work happened, which is what an auditor asks for and what a month-end reconstruction cannot produce.
